How it works
From the whiteboard, the calendar, and the members' note.
You keep writing the training and running the gym. First we learn how you already sound, and you upload the logos, colours, and fonts. Then we turn the public pieces into posts. After the profile exists, you connect the accounts or you download the files. Internal announcements stay with the people who have a membership.
01
Set the brand voice
Share your website and social accounts. We learn the language, tone, and style you already use. Keep that voice, or pick a suggested direction. Each one comes with sample posts. Change it anytime.
02
Upload the brand kit
Primary, secondary, and tertiary logos, as transparent PNG or SVG, in light and dark versions. Add the brand colours and fonts. Posts and newsletters use that kit.
03
Send three kinds of input
Workouts and programming. Gym events: competitions, socials, seminars, open houses, holiday hours. Internal announcements, marked so they stay with members.
04
Choose how it goes out
Connect Instagram, Facebook, TikTok, X, and Snapchat and we autopost, with a review first if you want it. Or download a media pack — captions, images, and video, filed by platform and date — and post it yourself. Switch anytime.
05
Announcements stay private
Internal announcements go only in a members-only newsletter edition, sent to that gym's members. They are never posted, and never sent to anyone without a membership.
What you send
Three kinds of input. Send each one the way you already produce it.
- Workouts and programming. The daily WOD, the weekly plan, or the month. Forward the coach email, attach the spreadsheet, or photograph the board. Daily works. A Sunday batch works. A month in one drop works, as long as the dates are on it.
- Gym events. Competitions, socials, seminars, open houses, and holiday hours. Include the time, who can come, and how to sign up. If the public can hear it, say so.
- Internal announcements. A coach out, a room change, a billing note, a members-only schedule tweak. Mark them internal. If you are unsure, we treat the line as members-only until you say it is public.
Add the pieces that change a public post: class times, a scale you want stated, a benchmark name, a photo, a clip. Photos and video can go straight into the Gym Media Library, below. If a detail isn't in what you sent, we won't guess a member's name or a load they didn't lift.
Gym Media Library
Each gym has one shared photo and video library. Any staff member can drop a file: the owner, a coach, the front desk. WODReel turns labelled files into posts and, on newsletter plans, into the newsletter. The library is on every plan. On Pro, each location keeps its own library, so a members-only clip from one address does not travel to another.
An upload is not available to us until these prompts are answered:
- What it is. A WOD, an event, a member highlight, a coach, or the facility.
- Movements. What is actually being done in the photo or video.
- Date or event. The training day, or the competition, social, seminar, open house, or holiday hours it belongs to.
- Who is pictured. Names only when they should be named. A class shot with no names is still a class shot.
- Member consent. The uploader confirms the people pictured agreed to this use. Without that confirmation, the file stays in the library and does not ship.
- Where it can be used. Public social, or members-only. Public social can become a post and a place in the public newsletter. Members-only goes only in the members-only newsletter edition, sent to that gym's members. It is never posted.
We do not relabel a file to fill a gap. If the prompt says members-only, it does not become an Instagram post because the grid looks thin.
What goes out in public
Workouts and events become social posts, and on newsletter plans they also go in the public newsletter. Instagram gets a cover and a caption. TikTok gets a hook that fits the first second and on-screen text a viewer can read with the sound off. Facebook gets the community note and the schedule. X gets the workout or the event inside the length people actually read. Snapchat gets a short vertical cut. The public newsletter gets a subject line, preview text, and a scan of the training and the events.
Most public posts are ready without a film crew. They are type-led: the workout, the scale, the time cap, the event details, your voice. When you send footage, we cut it in. When you don't, the post still ships.
What stays with members
Internal announcements go only in a members-only newsletter edition, sent to people with a membership at that gym. They are never posted to Instagram, Facebook, TikTok, X, or Snapchat. They are not mixed into the public newsletter. They are not sent to guests, to another location's list, to the founding waitlist, or to WODReel's own Substack.
That edition is part of Social + Newsletter and Pro. On Social there is no member email, and an internal announcement is still never posted. We do not move it onto a public channel because the inbox is not on that plan. Each Pro location keeps its own member list. A note for one address does not ride along to the others.
How you publish
After the profile exists, you choose how the public posts leave the building. Both choices are on every plan, and you can switch whenever you want. A week on media packs and a week with the accounts connected are the same subscription.
- Connect the accounts. Instagram, Facebook, TikTok, X, and Snapchat each connect through that platform's own login. We never ask for the password. We autopost the workouts and the events. Turn review on and a post does not go live until you approve it. Review can sit on one app and stay off another.
- Download a media pack. Captions, images, and video files, organized by platform and date. You post them in your own apps. Nothing goes live until you publish the file.
Newsletter plans still send the public edition and the members-only edition by email. You can review those before they send, or let them go on the schedule you set. An internal announcement is not in the social media pack, and a connected account does not publish it.
What we will not do
- Paste one caption into five apps and call it a strategy.
- Invent a testimonial, a PR, or a member story.
- Pull a face from your tagged photos because the grid looks empty.
- Use stock kettlebells, stock sweat, or a quote about discipline over a sunset.
- Publish a price, a discount, or a medical claim you didn't write.
- Post an internal announcement, or send it to anyone who is not a member of that gym.
- Ask for a social password. Accounts connect through the platform's own login, or you post the media pack yourself.
- Use a library file without the consent confirmation, or outside the place the label allows.
Brand Voice
Onboarding starts with the voice, before the first post ships. Share your website and the social accounts you already run. We read the public pages and the public posts — language, tone, and style. This is not the account connection used for autopost, and it does not ask for a password.
You then pick how the new posts should sound:
- Keep the current voice. We write the way the gym already writes. The words you use, the length you use, and the words you never use.
- Pick a suggested direction. We offer a few tighter versions of that voice. Each direction comes with sample posts, written from a workout or event you already sent, so you can hear the difference before anything goes live.
Some rooms say "athletes." Some say "members." Some would rather swallow a bumper plate than say "family." The samples show that choice in a caption, not in a style guide nobody reads. You can change the voice anytime. The next posts follow the one you picked.
Brand Kit
The same onboarding asks for the marks and the type, so a post does not invent a logo. Upload the files the way a designer would hand them over.
- Primary logo, plus secondary and tertiary logos when the gym uses more than one.
- Transparent PNG or SVG, each in a light version and a dark version, so the mark holds on a photo and on a chalk background.
- Brand colours and fonts. The ones already on the website and in the gym. Posts and newsletters use those, not a default palette.
Every public post and every newsletter edition is built from that kit. If a file is missing, we ask for it. We do not redraw the logo or substitute a similar typeface.
The guides are the same standard, written out: what belongs on Instagram every day, how to turn a WOD into a Reel in five minutes, and how often each platform actually wants a post.
